Want to tone up your outgoing email? Do you want to have custom stationery for different classes of recipients? Maybe an email with a business header and footer for clients? Apple Mail lets you use and customize your email stationery. We’ll show you how to use email stationery and two ways to customize it.

Using Mail Stationery

A new mail message window is pretty nondescript. First, click on the stationery button at the far right to reveal the stationery pane.

    This pane shows 25-30 stationery templates built into Apple Mail.

    Browse among the categories to the left, and the stationery items within each category. For example, under Sentiments, choose a “Get Well Soon” template to send to a friend.

    Notice too that one may select any one of the built-in items and drag them to Favorites – the top category.

    Thus, it is very easy to use this built-in stationery to send distinctive messages that will be noticed!

    Customize Your Stationery

    Below are quick ways to customize your stationery, first using Apple Mail itself, and second using add-on apps. So let us get started.

    In any email compose window, you can File – Save As Stationery.  First, compose an email that will be used as a template. Adjust the fonts, include your own cool header and other pics. Just before you send it, choose File/Save as Stationery, and give it a name that you will recognize in your custom stationery.

    Now,

    • open a new email.
    • Choose Stationery.
    • On the left category pane, scroll down to Custom
    • See your newly saved Stationery

    • Click on it, update all the text, and off you go.

    In the Mac App Store, one can buy additional Mail stationery templates.

    For advanced users, one can make changes to the files in the Resources folder to completely customize an existing HTML template.  Let us know if you are interested in this method.

    Now we have been talking about Apple Mail in Mac OS.  For iOS mail, there is no built-in stationery, but there are apps for both the iPhone and iPad!
